Guidelines for ethical and responsible use of Amazon seller data

1. Introduction

This Acceptable Use Policy ("AUP") defines the standards and guidelines for accessing, using, and handling seller data obtained through Amazon's Seller Partner Network (SPN) APIs. Ensologic Commerce Pvt Ltd ("Ensologic") is committed to using this data ethically, responsibly, and in compliance with all applicable regulations and Amazon's policies.

This policy applies to all Ensologic employees, contractors, and authorized third parties who access or process seller data.

2. Permitted Uses

Seller data accessed through Amazon SPN APIs may only be used for the following authorized purposes:

2.1 Account Management Services

  • Managing and optimizing seller accounts on behalf of authorized clients
  • Processing orders and managing fulfillment
  • Inventory management and replenishment planning
  • Customer service support for seller accounts

2.2 Analytics & Reporting

  • Generating sales and performance reports for authorized clients
  • Providing business insights and recommendations
  • Tracking key performance indicators (KPIs)
  • Account reconciliation and financial reporting

2.3 Advertising Services

  • Creating and managing Amazon advertising campaigns
  • Optimizing ad spend and improving ROI
  • Analyzing advertising performance metrics
  • A/B testing and campaign optimization

2.4 Catalog & Content Services

  • Product listing creation and optimization
  • A+ Content development for brand enhancement
  • Catalog management and maintenance
  • Brand Store design and development

3. Prohibited Uses

The following uses of seller data are strictly prohibited:

3.1 Unauthorized Data Sharing

  • Selling, renting, or leasing seller data to third parties
  • Sharing data with unauthorized individuals or organizations
  • Disclosing competitive information to other sellers
  • Using data for purposes not authorized by the seller

3.2 Competitive Misuse

  • Using seller data to gain competitive advantage for our own products
  • Sharing insights with competitors of our clients
  • Price manipulation or unfair competitive practices
  • Market manipulation using seller data

3.3 Privacy Violations

  • Contacting customers directly without seller authorization
  • Using customer PII for unauthorized marketing
  • Aggregating or de-anonymizing customer data
  • Building customer profiles for unauthorized purposes

3.4 Policy Violations

  • Circumventing Amazon's terms of service or policies
  • Using data to facilitate fraudulent activities
  • Manipulating reviews, ratings, or search rankings
  • Any activities that violate applicable laws or regulations

4. Data Handling Requirements

4.1 Data Minimization

  • Only access data that is necessary for the specific service being provided
  • Avoid downloading or storing data locally when cloud-based access is sufficient
  • Regularly review and delete data that is no longer needed

4.2 Data Accuracy

  • Maintain accuracy of data used for reporting and decision-making
  • Promptly correct any inaccuracies identified
  • Clearly distinguish between actual data and derived insights

4.3 Data Segregation

  • Keep different clients' data logically separated
  • Prevent cross-contamination of data between accounts
  • Maintain clear data ownership records

4.4 Secure Transmission

  • Use only secure, encrypted channels for data transmission
  • Never send sensitive data via unencrypted email
  • Use secure file sharing platforms for report delivery

5. User Responsibilities

5.1 All Users Must:

  • Read and understand this Acceptable Use Policy
  • Complete required data handling training
  • Use strong, unique passwords and enable MFA
  • Report suspected security incidents immediately
  • Lock workstations when unattended
  • Follow clean desk policies for physical documents

5.2 Users Must Not:

  • Share login credentials with others
  • Access seller data without a legitimate business need
  • Store sensitive data on personal devices
  • Discuss seller data in public spaces
  • Take screenshots or photographs of sensitive data
  • Use unsecured networks to access seller data

6. Monitoring & Enforcement

6.1 Monitoring

Ensologic reserves the right to monitor the use of seller data to ensure compliance with this policy. Monitoring activities may include:

  • Audit logs of data access and modifications
  • Review of data export and sharing activities
  • Periodic access reviews
  • Automated alerts for unusual activity patterns

6.2 Violations

Violations of this Acceptable Use Policy may result in:

  • Immediate revocation of data access privileges
  • Disciplinary action, up to and including termination
  • Civil or criminal liability for serious violations
  • Reporting to Amazon and/or relevant authorities

6.3 Reporting Violations

Employees and contractors are encouraged to report suspected policy violations to:

  • Their immediate supervisor
  • The Data Protection Officer at privacy@ensologic.com
  • Through our confidential reporting channel

Reports will be investigated promptly, and reporters will be protected from retaliation.

7. Seller Rights

Sellers whose data we access have the following rights:

Sellers can request information about what data we access and how it is used.

Right to Access

Sellers can request copies of any reports or analyses generated from their data.

Right to Correction

Sellers can request correction of any inaccurate data or reporting.

Right to Revoke

Sellers can revoke access authorization at any time, subject to contractual obligations.

8. Policy Updates

This Acceptable Use Policy may be updated periodically to reflect changes in:

  • Our service offerings
  • Amazon's SPN policies and requirements
  • Applicable laws and regulations
  • Industry best practices

All users will be notified of material changes to this policy and required to acknowledge the updated terms.
